To add product groups, products, and give these products a visual button in your cash register you will first need to log into Backoffice, if you don't want to use the edit mode directly in the cash register. See the article for the edit mode in that case.
1. Create Product Group
Choose Products -> Product Groups.
Option 1. Click Create Product Group.
Select whether the product category should be eligible for discounts (it is especially important to disable this for alcohol). For information about accounting data, see our article on chart of accounts.
Click Create Product Group when you are satisfied. The group is saved and you can move on to creating more of them.
Option 2. Create products in Excel View
- Go to Products → Product groups.
- Click on Table mode (blue button) for Excel view.
- Add a product group:
- Name: e.g. Beverages
- Type: Goods
- VAT: e.g 12 %
- To add a new row, select: ‘Add row’ (a blue button on the far right)
- Click Save → Close. Once you have entered all product groups, with the correct Name, Type and VAT.
Examples of product groups
- Restaurant: Beverages, Starters, Main courses, Desserts
- Shop: Clothing, Shoes, Accessories
- Café: Coffee, Buns, Sandwiches
- Beauty/Hairdresser: Haircut, Nails, Hair, Shampoo
Important to keep in mind!
Takeout (6% VAT): Since food eaten on-site is subject to 12% VAT, but takeout is now subject to 6% VAT, it’s extremely important that you create separate “Takeout” product groups. This ensures that sales and VAT are recorded correctly in your accounting right away!
Alcohol: We recommend creating specific groups such as Beer, Spirits, Wine, and Cider instead of a general “Beverages 25%” group. This makes alcohol reporting much easier.
Receipt Printers: Printers in the kitchen/bar are controlled via the product groups. Don’t forget to link your new product groups (including your Take Away groups) to the correct printers so that orders go to the right place!
2. Create Products
The next step is making a product under this product group. Click Products -> Products in the menu.
Click Create Product on the right hand side.
Enter the name of the product and choose what product group it should belong to. If you'd like open pricing, check that option. Open pricing means that the cash register will ask at the sale what the product costs. Otherwise, fill in Sales Price (incl. VAT).
Under the Description tab, you can enter more information about the product. If you have a barcode scanner you enter the barcode into the field Barcode.
Click Create Product when you are satisfied.
Option 2. Create products in Excel View
An item is a single product or service you sell.
Examples of items
- Restaurant: Coca-Cola 33 cl, Pizza Margarita
- Shop: Blue T-shirt, Black trainers
How to do it
- Go to Products → Product.
- Click on Table mode (blue button).
- Select a product group (e.g. Beverages).
- Add all your products, e.g. Coca-Cola 33 cl and Price
- Fill in the price (if you leave this box empty, the amount will be entered manually at checkout).
- Other fields (quantity, unit, barcode, item number, etc.) are optional.
- Click Save → Close. Once you have filled in all products with prices
- Select the next product group you created and add products in the same way.
3. Create buttons
Now that we have our product groups, and products, we need to create buttons for the cashier. Click Products -> Button Layouts.
