New VAT rules for takeaway food from April 1, 2026
From April 1, 2026, VAT on food will be reduced from 12% to 6%. This temporary change will apply until December 31, 2027. To ensure your accounting is correct, you need to update the VAT rates in Backoffice for products sold as takeaway.
Read more about the new rules at the Swedish Tax Agency under “Food” och " “VAT rates and exemptions from VAT.” Information about taxes and regulations from the Swedish Tax Agency in this knowledge bank is for guidance only. How to prepare your product range
To easily distinguish between serving (12%) and takeaway (6%), we recommend that you create copies of your existing products and add the prefix “AV” to the name (e.g., “AV Sirloin steak”). This makes it easier when you build your button map.
Choose the right setup for your business
Before creating new product groups, consider which of the following options suits you best:
Option A: Mirror existing groups (recommended) Create a corresponding “AV group” for each regular product group (e.g., AV Starters, AV Main Courses, AV Drinks), etc.
Advantages: Detailed sales statistics and accurate order management for the kitchen/bar per category.
Option B: A single product group Collect all takeaway orders in a single group (e.g., Takeaway Food).
Advantage: Quick to set up.
Disadvantage: Provides poorer statistics and all drinks/food end up on the same order, which can confuse staff at the kitchen printer.
Option A
Step 1: Prepare the product list in Excel
Log in
Go to Backoffice: www.onslip360.com.Download the product list
Go to Products → Products and click on the icon on the far right to download the product list as an Excel file.Filter the list
Open the file in Excel.
Select row 1 and choose Start → Sort and filter → Filter.Sort by product group
Click on the arrow in the Product group column and select Sort A to Z.
The products are now grouped by category.Clear the list
Keep only the products that are to be moved to the Takeaway product group and delete the other rows.Name the products
Add AV at the beginning of the product names, for example:AV Hamburgare 90 g with bread
This makes it easy to recognize takeaway products when you later create buttons.
Step 2: Create product groups and products (Table mode)
A. Create new product groups
Go to Products → Product groups
Click on Table mode
Click on Add row
Create new product groups for takeaway, e.g. TA Main course, TA Starter and select VAT rate 6%
Click on Save
B. Add the products
Go to Products → Products
Click on Table mode
Select your new product group (e.g. TA Main course or TA Starter ) from the drop-down list
Paste from Excel
Paste product names into the Name column
Paste prices into the Price column
NOTE:
Only enter numbers in the price field (e.g. 89).
Remove characters such as kr, :- or similar from Excel.
Important
Always start pasting from the first row
Check that the name and price are in the correct row
When you are finished with a product group:
Click Save → Close
Step 3: Create buttons in the checkout
Go to Products → Button Layouts
Click Edit mode (top right)
Create a new button group or subgroup, e.g. Take away
Click Insert products
Select your TA product group
Click Select all → OK
Click Save changes
Repeat this for all product groups.
Option B: A single product group
Follow steps 1–3 above, but place all “AV products” in a single product group (e.g., Takeaway Food).
Tip!
Why write AV? It makes it much easier to see in Backoffice which product belongs to which VAT rate when you build your button map.
Update the cash register: Don't forget to log out and log back in to the cash register for the new buttons to appear.
Keep in mind!
Accounting & Chart of Accounts: If you use this feature, don’t forget to add the correct accounting codes and chart of accounts for all new product groups as soon as they are created. For more information on how to set up accounts, see our article: "How to create accounting records and chart of accounts"
No Excel Import: Please note that it is currently not possible to upload Excel files. Instead, you’ll need to use copy-paste to enter the information manually for each product group, product, and price.
